## Retainer hours tracking that resets every month

Recurring Budgets is a TimeCamp add-on for retainer hours tracking that resets each client's hour budget on the day of the month you choose. It is for agencies and accounting firms that sell a set number of hours each month. You and your clients see what is left on each monthly retainer budget.

### Why teams use Recurring Budgets

- **Fewer "how many hours are left?" emails.** Each client opens a private link and sees hours purchased, used, and remaining.
- **Periods that match your contracts.** Each retainer resets on its own day of the month.
- **Monthly profit per project.** A report puts employee cost next to client revenue for each top-level project.

### What you can do

- Track a TimeCamp task as a monthly retainer with an hours budget and a note tag.
- See every retainer in one table: monthly budget, used hours, reset day, and report link.
- Count time from the task and all of its subtasks.
- Share a read-only report with the current period and time grouped by note.
- Check the last 50 visits to your client reports.
- See weekly hours per person, employee cost, client revenue, GP profit, and GP% for any of the last 12 months, with CSV and PDF export.

### How it works

1. Click Request and ask the TimeCamp team to add Recurring Budgets to your TimeCamp account.
2. Give the client's task an hours budget and add a reset tag to its note, such as repeat_monthly_on::1 for the 1st.
3. Open the add-on in TimeCamp and copy the link from the Client Budgets table.
4. Send the link to your client. It opens in any browser, with no login.

### Good to know

- Recurring Budgets is a custom add-on with a $200 flat fee.
- Unused hours do not roll over. There are no alerts or emails when a budget runs low.
- Use a reset day from 1 to 28. Later days can give wrong periods in short months.
- Budgets are rounded to whole hours, and "Remaining" never goes below zero.
- Anyone with the link can read the report, including time entry and task notes.
- You cannot turn off a link from the add-on. A link stops working when you archive its task.
- Each link uses its creator's TimeCamp API token, stored encrypted. It counts only the time that this person can see.
- The access log also counts your own visits and stores each visitor's IP address and browser.
- The profit report uses calendar months. It shows money with a $ sign and needs cost rates and fee budgets in TimeCamp.
- The interface is in English. Recurring Budgets works on app.timecamp.com and the EU server, ue2.timecamp.com.

#### How does retainer hours tracking work in Recurring Budgets?

Recurring Budgets reads each retainer's hours budget from a TimeCamp task. It counts time on that task and its subtasks since the reset day in the task note, such as repeat_monthly_on::5.

#### What does my client see on the report link?

The Recurring Budgets link shows hours purchased, used, and remaining for the current period, with time grouped by note. No TimeCamp login is needed.

#### Does Recurring Budgets send alerts before a retainer runs out?

No. Recurring Budgets does not send alerts or emails. You see usage in the Client Budgets table, and your client sees it on the report link.
