## A resource planner that shows who is free and who is overbooked

Planner (Schedule Forecast) is a TimeCamp add-on and resource planner that schedules people on TimeCamp projects and tasks on a shared timeline. Project managers and team leads use it for team capacity planning: who is free next week, and who is overbooked.

### Why teams use Planner

- **Capacity at a glance.** A daily bar per person reads Full, hours open, or hours over.
- **One project list.** Assignments use your TimeCamp projects and tasks.
- **Early warning on drift.** Compare planned hours with tracked time for each person and each project.
- **People stay informed.** With "Notify person by email" on, the person gets the task, dates, and hours by email.

### What you can do

- Drag across days to create an assignment, then drag to move or resize it.
- Set hours per day or hours per week, and add notes. Planner shows the total hours.
- Plan by person on the People tab, or by project on the Projects tab.
- See utilization and free hours per person for a week, a month, a year, or a custom range.
- As an admin, name up to 3 extra statuses, such as tentative, that can stay out of workload.
- Filter by groups, people, projects, and status.
- Export up to 2 years of assignments to CSV.

### How it works

1. Open Planner in your TimeCamp account.
2. Drag across days on the timeline, or select Add assignment.
3. Pick the person, project or task, dates, and hours, then save.
4. On the People tab, open View options and turn on "Show free hours" or "Compare with tracked time."
5. On the Projects tab, select Report to compare planned and tracked hours for a project.

### Good to know

- Free hours and total hours use 8 hours per working day, Monday to Friday. Holidays, time off, and individual working hours do not change capacity.
- By default, admins and supervisors see and edit everyone. Other users see only their own schedule.
- A task the viewer cannot see in TimeCamp shows as Restricted task.
- The planned vs tracked report covers up to 366 days that end today or earlier, and includes subtasks.
- Moving or resizing an assignment by drag does not send an email.
- The interface is in English.
- Planner is included in the Premium plan.

#### What is the TimeCamp resource planner?

Planner (Schedule Forecast) is the TimeCamp resource planner. Planner schedules people on TimeCamp projects and tasks and shows who is free and who is overbooked.

#### Can I compare planned vs actual hours?

Yes. With "Compare with tracked time" on, Planner adds a tracked vs scheduled row for each person. The Report on the Projects tab compares a project's planned and tracked hours by person and by week.

#### How does Planner calculate free hours?

Planner counts 8 hours for each working day, Monday to Friday, and subtracts the planned hours of every assignment in the period. Weekend hours and statuses that do not count toward workload are left out.

#### Can employees see or plan their own schedule?

Planner shows regular users only their own schedule by default. Admins can turn on "Everyone can view all schedules" for read-only access, and "People can plan their own work" so users can edit only their own assignments.

#### Does Planner create time entries?

Planner (Schedule Forecast) does not create time entries. Your team tracks time in TimeCamp as usual, and Planner compares those entries with the plan.
