Shift Scheduling

Plan your team's week in one grid and see every shift's tasks checked off, with photos.

Employee shift scheduling with proof the work got done

Shift Scheduling is a free TimeCamp add-on for employee shift scheduling: admins and supervisors plan the week in one grid, and employees finish the tasks on their shifts. It suits on-site teams, such as cleaning, retail, and field crews. You see who works when, what to do, and what got done.

Why teams use Shift Scheduling

  • Coverage at a glance. People are grouped by TimeCamp group, and each shift is colored by its role.
  • No double-booking. Shift Scheduling blocks overlapping shifts for the same person, even across midnight.
  • Proof the work got done. Employees check off tasks and add photos from their phone, and each comment shows who posted it and when.
  • Hours you can plan around. Each person's weekly paid hours appear next to their name, without unpaid breaks.

What you can do

  • Plan a Monday to Sunday week with start and end times, an optional title, a role, an unpaid break, and notes. Overnight shifts end the next day.
  • Repeat a new shift weekly on the days you choose, up to one year ahead.
  • Create roles with a name and one of eight colors.
  • Add a task checklist to any saved shift. Each shift card shows how many tasks are done.
  • Comment on tasks with one photo per comment, and open a task from the email link.
  • As an admin, add a note to any day.

How it works

  1. Open Shift Scheduling. If TimeCamp does not sign you in, paste the API token from your TimeCamp profile.
  2. Your TimeCamp users appear in a weekly grid. Add your roles.
  3. Select Create shift, set the employee, date, times, role, and break, and turn on Repeat weekly if needed.
  4. Open the saved shift and add tasks in the Tasks tab.
  5. Employees check off tasks and comment with photos. Manager comments email the employee, and employee comments email the shift creator.

Good to know

  • TimeCamp admins manage every shift. Supervisors manage people in their TimeCamp group and its subgroups. Employees work on the tasks of their own shifts.
  • Shift Scheduling is free with a TimeCamp account on app.timecamp.com or the EU server, ue2.timecamp.com.
  • Photos can be JPEG, PNG, WebP, HEIC, or HEIF, up to 10 MB each. Only the assigned employee, admins, and that employee's supervisors can open them. HEIC and HEIF files show as a link, not a preview.
  • Each repeat is a separate shift that you edit on its own. Tasks are not copied to repeats.
  • Shifts do not create time entries and are not compared with tracked time.
  • The grid shows one week at a time. The interface is in English.
