Overtime policy
Keep logged hours inside your monthly and daily limits unless a manager approves more.
Overtime policy software that keeps hours inside your limits
Overtime policy is a TimeCamp add-on that works as overtime policy software: it caps the hours each employee can log in a month, and optionally in a day, unless a manager approves more. It is for admins and supervisors who want unapproved overtime out of their timesheets.
Why teams use Overtime policy
- Unapproved overtime stays out. Completed entries above the cap are removed unless a manager approves more time.
- People hear about it early. The monthly target email comes before the cap, so the overtime buffer leaves time to react.
- Limits fit each person. Set account defaults once, then override them for part-time staff or special contracts.
- You decide when to enforce. Turn off automatic deletion to watch and log without removing entries.
What you can do
- Set a weekday target, a monthly overtime buffer, and an optional daily limit that includes weekends.
- Override any limit for one employee and see the effective policy.
- Approve extra time in 15-minute steps for one month or one day.
- See tracked, target, and remaining time per employee, and filter by status.
- Turn deletion, manager emails, and employee emails on or off separately for monthly and daily limits.
- Send sample emails to yourself, and review changes and removed entries in the activity log.
How it works
- An admin sets the limits in Settings and saves the account API key.
- Every 10 minutes, the add-on compares each active employee's time this month with their target and cap.
- At the target, the employee and every active admin and supervisor get one email for that month or day.
- An employee who needs more time asks a supervisor, who approves it in the add-on.
- With automatic deletion on, completed entries over the cap are removed whole, and an email lists them.
Good to know
- Only TimeCamp admins and supervisors can open the add-on. Supervisors see every active employee, and employees get emails only.
- Defaults are 8 h 15 min per weekday, a 20 h monthly buffer, and an 8 h 15 min daily limit. Daily enforcement starts off. Monthly enforcement, automatic deletion, and emails start on.
- Weekdays are Monday to Friday in UTC. Holidays and time off do not change the target.
- Only the current month is checked, and earlier months are read-only.
- If the API key stops working, checks pause until an admin replaces it. The key is stored encrypted.
- The interface and emails are in English. Overtime policy is free.
Frequently asked questions
How does the overtime policy software calculate the monthly limit?
Overtime policy multiplies the weekday target by the Monday to Friday days in the month (UTC), then adds the overtime buffer and any approved time. With the defaults, a 22-weekday month has a cap of 201 h 30 min.
Does Overtime policy delete time entries?
Overtime policy deletes completed entries over an active cap only while automatic deletion is on. Running timers are never deleted, and a later approval does not restore removed entries.
Can I try Overtime policy without deleting anything?
Overtime policy can run without deleting: turn off Automatic deletion in Settings before you save the API key. The add-on keeps checking, sends the emails you enabled, and only logs the entries it would remove.
Who can change Overtime policy settings?
In Overtime policy, only TimeCamp admins change account settings and the API key. Admins and supervisors can both set employee overrides and approve extra time.
