Client Portal

Client Portal

Give each retainer client a private link to see hours purchased, used, and remaining.

A client portal where clients check their retainer hours

Client Portal is a TimeCamp add-on that works as a client portal for time tracking: each retainer client gets a private, read-only report of their monthly hours. It is for agencies, consultancies, and accounting firms that sell a set number of hours each month. Clients see what they bought, used, and have left, without emailing you.

Why teams use Client Portal

  • Fewer balance questions. Clients check their hours from one link.
  • Hours clients understand. Time is grouped by entry note, so clients see what they paid for.
  • No accounts to manage. Clients do not need a TimeCamp login or a password.
  • You know when clients look. The access log shows when each report was opened.

What you can do

  • Track a monthly retainer on a TimeCamp task with an hour budget, subtasks included.
  • See all retainer clients in one table: monthly budget, used hours, reset day, and report link.
  • Copy a private report link for each client. The link stays the same every month.
  • Show clients hours purchased, used, and remaining for the current period.
  • Review the last 50 report visits in the Client Report Access Log.

How it works

  1. Request the add-on. The TimeCamp team sets it up.
  2. In TimeCamp, give each retainer client a task with an hour budget.
  3. Add the reset day to the task note, for example repeat_monthly_on::5 for the 5th of each month.
  4. Open the Client portal view, copy the client's report URL, and send it.
  5. The report loads current TimeCamp data on every visit.

Good to know

  • Client Portal costs a $200 flat fee. The TimeCamp team sets up this custom add-on for you.
  • Report links have no password. Anyone with the link can open the read-only report, and the add-on cannot turn off or replace a link.
  • Use an hour budget, not a fee budget, and a reset day from 1 to 28. The budget shows in whole hours.
  • The report covers the current period only. Past months are not shown, unused hours do not carry over, and "Remaining" stops at zero.
  • Clients see time entry notes, or the task note if an entry has none.
  • The report uses the link creator's TimeCamp access, so create links as an admin.
  • If you archive the client task, its link stops working.
  • The add-on stores the link creator's API token, AES-GCM encrypted, in Cloudflare D1. It logs each visit's IP address and browser.
  • The interface is in English. Client Portal works on app.timecamp.com and the EU server, ue2.timecamp.com.

Frequently asked questions

What is a client portal for time tracking?

A client portal for time tracking lets clients see the hours logged for them without a login to your time tracker. Client Portal does this for TimeCamp: each retainer client gets a private link to a read-only report of hours purchased, used, and remaining for the current monthly period.

Do my clients need a TimeCamp account?

No. Clients open their Client Portal link in a browser without a login or password, and they cannot change any data.
