Data importer

Data importer is a TimeCamp add-on that helps you migrate to TimeCamp from Clockify, Toggl Track, Harvest, or a CSV file. It is for admins who move a team and want to keep its history. Nothing is written until you confirm.

Why teams use Data importer

• Your history comes with you. Clients, projects, and tasks become a TimeCamp task tree. Entries keep their dates, times, notes, and billable status.
• You see every change first. A read-only preview lists new records, matches, and open decisions.
• Safe to run again. Records from an earlier run are matched, so nothing is added twice.
• No email flood. Welcome emails are optional. Entry-change emails are turned off before entries are added.

What you can do

• Connect Clockify with an API key in the Global, EU (Germany), USA, UK, or Australia region.
• Connect Toggl Track with an API token, or Harvest with an account ID and access token.
• Upload a CSV file and map its columns. Harvest time exports and Clockify project exports map automatically.
• Fetch tasks, users, and time entries, plus tags, estimates, and assignments where available.
• Match each person automatically or by hand, invite them to TimeCamp, or skip them.
• Pause, resume, or cancel a run and follow its live log.

How it works

1. Open Data importer in TimeCamp and connect your old tool or a CSV source.
2. Pick dates and data, then choose Start fetch.
3. Choose Save to TimeCamp, pick an optional parent task, then Prepare preview. Answer each Needs decision item.
4. Choose Start import and confirm. TimeCamp is checked again before anything is written.

Good to know

• This is a one-way move. The importer only reads your old tool and skips hourly rates and costs.
• Tasks match by source ID, not by name. Map an existing task by hand in the preview.
• Toggl Track's Free plan allows 30 API requests per hour. The fetch waits and continues.
• Toggl Track and Harvest times round to the minute. Entries without clock times follow each other from 07:00. Overnight entries are split at midnight.
• CSV files must be UTF-8, at most 10 MB and 50,000 rows, with up to three task levels.
• Use a Harvest administrator or manager token. A member token exports only that member's entries.
• Cancel keeps created records. Entries of people deactivated in TimeCamp are skipped. Entry-change emails stay off after the import.
• Source credentials are stored encrypted. Connections, fetched data, and logs are private to your TimeCamp user.

How do I migrate to TimeCamp from Clockify, Toggl Track, or Harvest?

Open Data importer in TimeCamp, connect your old tool, and fetch your data. Review the read-only preview, then start the import. Data importer writes nothing to TimeCamp until you confirm.

Will running Data importer twice create duplicates?

No. Data importer matches tasks by source ID, people by email, and entries by person and exact start and end time. Changed entries wait for your decision.

Does Data importer email my team?

Data importer sends welcome emails to new users only when that option is on, which is the default. The importer also turns off entry-change emails for imported people, so nobody gets an email for each entry.

Does Data importer keep syncing after the move?

No. Data importer is a one-way migration that never writes to the source tool. For an ongoing Harvest sync, use the Harvest integration & Clockify importer add-on.
